  • Collaborate with the Global Finance team and other relevant finance teams (internal and external); manage any changes to the invoicing process, per program, to ensure followed up correctly, including refunds; take responsibility to respond to any finance queries from finance teams and act as the communication line between the global programs team and them to ensure one point of contact management and continuous improvement; develop and manage processes required to ensure global programs team's finance management is efficient
  • Partner with the Global Procurement, IOGC and other relevant global teams, management of global contracts for vendor agreements such as Cvent, production vendors, and speakers; carry-out continuous improvement including the development and ongoing management of contractual processes to ensure the business has what it needs from the global programs team
  • Assist the meeting planners to finalize budgets and check that the information is moved to the appropriate stakeholder cost center, finalize contracts and move into DocuSign for signature, and make sure all invoices for each program go through the system, are coded correctly and are paid
  • Maintain regular reporting to develop and manage financial planning and analysis methods and reporting for the group; implement reporting for Global Programs team to confirm that budgets are in the system and final program needs are saved in relevant meeting folders
  • Implement and analyze monthly financial reporting for leadership and continuous improvement including the development and management of reporting where required to establish operational efficiency of the global programs team
  • Support project management and teams to oversee global programs team coordinator role, whose main objectives are to continuously improve the project management tools and data collection/reporting of the team and provide onsite support if required at larger programs such as GNPC and IPC Qualifications:
    • Minimum five years of recent experience in finance and operations, preferably within a professional services firm
    • Bachelor's degree from an accredited college/university or equivalent work experience in finance related field
    • Proficient in finance systems; international meeting planning understanding is a plus
    • Strong communication, problem solving, analytical and independent judgement skills to support an environment driven by client focus and teamwork
    • Proficient with Microsoft Office Suite applications including Word, Excel, PowerPoint, Outlook
    • Ability to travel as needed required
